This notice explains the information Brownstone Careers may collect during recruitment and how it is intended to be used and protected.

Applicant Privacy Notice

Brownstone Careers collects information that candidates voluntarily provide when applying for opportunities, contacting support, completing screening, or participating in recruitment activities.

Information collected during the public application

The public recruitment form is limited to contact details, general location, role preferences, availability, work history, professional skills, résumé information, and work-authorization eligibility questions. Brownstone Careers does not request Social Security numbers, government ID images, banking information, tax forms, or complete residential addresses through the public application.

How public-application information is used

Applicant information is used to review applications, assess role suitability, communicate recruitment updates, prevent misuse of the platform, and maintain recruitment records. Identity, tax, payroll, or eligibility documentation is requested only from approved candidates through an authenticated onboarding process when necessary.

How information is shared

Information may be shared only with authorized recruitment personnel, service providers that support secure form processing or communication, and other parties when required by law or necessary to protect candidates, Brownstone Careers, or the integrity of the recruitment process.

Sensitive onboarding information

Approved candidates may be asked to submit identity or employment-verification information through their private onboarding portal at onboarding.brownstonecareers.agency. Social Security numbers, dates of birth, and complete residential-address details are encrypted server-side and are not displayed in full in the general administrator dashboard. Government ID files are stored in private, access-controlled storage and are never placed in the public website directory. Access is limited by administrator role, and material document or identity-review actions are recorded in the audit history. Brownstone Careers will never request passwords, PINs, complete payment-card information, or online-banking credentials by email, social media, or public forms.

AI-assisted onboarding support

The private onboarding portal may provide an AI-assisted Brownstone Guide for routine questions, task guidance, and support triage. The guide identifies itself as AI and may use the candidate’s assigned-task status and the text submitted in the support chat to provide relevant assistance. Candidates must not enter Social Security numbers, passwords, PINs, banking credentials, complete government-ID numbers, medical details, or other highly sensitive information into chat. Material conversations and human-support escalations may be recorded in the workforce audit and support system so authorized administrators can respond. Employment decisions and sensitive-document approvals remain the responsibility of authorized Brownstone personnel.

Retention and deletion

Information is retained only for legitimate recruitment, onboarding, verification, security, and recordkeeping purposes. Sensitive documents should follow a defined verification and deletion schedule, with access limited to authorized HR or compliance personnel. Candidates may contact Brownstone Careers to ask about their information or request deletion, subject to legal and operational retention requirements.

Security

Brownstone Careers uses reasonable administrative and technical safeguards; however, no internet transmission or storage system can be guaranteed completely secure. Candidates should submit only requested information and use secure personal devices and networks.

Your choices

You may choose not to provide optional information. Required application information is identified on the form. Declining to provide required information may prevent completion of the applicable recruitment step.

This notice may be updated as recruitment practices, technology, or legal requirements change. The effective date above identifies the latest published version.
